These guidelines were prepared by the Student Activities Office to aid groups wishing to form a formal campus club. These guidelines are not intended to be dictatorial, dogmatic, all encompassing, or inflexible, but an aid which may be used by a prospective group while writing their constitution.
Clubs exist on campus to provide a means for student interest or instructional groups to organize for out-of-the-classroom social and/or educational programs. ASG recognizes these needs and provides a structured constitution format and regulation of clubs.
The goals you set for your club can affect your own lives, as well as those around you on campus and in the community. The Students Activities Office endeavors to help make your goals a reality. Your enthusiasm, creativity and efforts are the tools that will make your club a success.
The Student Activities Office can help a club by supplying information related to Clackamas Community College policies and procedures; by helping the club get through the hassles that sometimes mean the difference between getting started and giving up; and by offering ideas for club projects and fund raising. Poster making supplies and paper are also available through the Student Activities Office. The Student Leadership Advisor maintains all club financial records.
The club advisor can be the key to a successful club. In some instances the advisor may suggest that students start a club. In other cases students may generate the interest for a club and then seek out the advisor.
The active role of the advisor depends on the students and the advisor. Some students will look to the advisor for leadership. Others want to be independent of staff or faculty and will only refer to the advisor when absolutely necessary. Hopefully, the advisor will be an active participant and work cohesively with the students.
The most common reason for club abandonment is the students who were the motivating force one year may leave or graduate the next. When this occurs, an involved advisor can keep the club going.
Clubs on campus greatly enrich the student and staff experience by providing extracurricular activities and social interaction with people who have similar interests. In advance CCC A.S.G. thanks you for your time and effort in this endeavor.
You need to create a Club Constitution. The Club Constitution gives order to the newly formed club and provides A.S.G. with information concerning the group for the clubs department. This is a template for creating your constitution. PLEASE use the format on the next page when writing a constitution.
Your club is required to have a faculty advisor. Please note that your faculty advisor MUST be involved in the club! After you have written a club constitution and located an advisor for your club, submit a copy of your club’s constitution to the Clubs Department, for review and approval by the Club Constitution Approval Committee. PLEASE NOTE: it may take five to ten working days for the submitted constitution to be approved. (Fall Winter and Spring Terms. If you submit during the summer, you may have to wait until fall term). Your patience in this matter is greatly appreciated.
The Student Activities Office/ Business Office will create a club account. The club will be given $50.00 for start-up money. This money can be used by the club for publicity, food, activities, etc. Feel free to stop by the A.S.G. office and let us know how you are doing, and if there is anything that we can do to help your club.
Be advised that A.S.G. will be holding events through out the year that can greatly benefit your club, such as the Club’s Fair and Inter Club Council. Your involvement not only benefits your club, participation is also seen as a responsibility of clubs on campus, and as a service to the students here at CCC. Attendance at these functions is strongly suggested, as it is a great opportunity to publicize your club. These functions are designed to help your club recruit new members. PLEASE NOTE: Clubs on campus are for the betterment of students here at CCC. Clubs are student based and should be considered non- profit organizations. Please remember your club will represent CCC please keep all club related materials appropriate and non-offensive.

An Amendment may be initiated by any member of the group and passed by a 2/3 vote of the members present at the meeting. It must then receive a majority vote of the Associated Student Government (A.S.G.) to become effective.
PLEASE NOTE:
The above amendment MUST be included in any all-new constitutions.
Article VII- ABANDONMENT
(PLEASE NOTE: The following is non-negotiable…) Club funds shall remain in the (your clubs name here) Club account for a period of two years after its abandonment. If after two years, the club does not continue on an active basis, all funds shall be forwarded to… (A.S.G. or an association that deals with your club’s function.)
